Operations/Office Manager
Full-time; evenings, weekends, and some holidays are necessary. Benefits include health insurance, 401(k), and paid time off. $30-$38/hour depending upon experience.
We are seeking a highly organized and proactive Office Operations Manager to oversee daily operations of the spa. This role is essential in ensuring that all administrative functions run smoothly and efficiently. The ideal candidate will possess strong leadership skills, excellent communication abilities, and a solid background in office management. You will be responsible for supervising staff, managing schedules, and coordinating various office activities to support our team’s success.
Responsibilities
✓Oversee daily office operations and ensure efficient workflow
✓Manage vendor relationships and negotiate contracts as needed
✓Coordinate event planning and execution for company functions
✓Supervise administrative staff and provide training & development opportunities
✓Handle payroll processing and human resources functions
✓Maintain accurate bookkeeping and budgeting records using QuickBooks ✓Manage calendar scheduling for executives and staff members
✓Ensure effective communication within the team and with external partners
✓Organize filing systems and maintain office supplies inventory
✓Provide front desk support, including handling multi-line phone systems with professionalism
Requirements
✓Proven experience in office management or administrative roles
✓Strong supervisory experience with a focus on team management
✓Proficiency in QuickBooks and other bookkeeping software
✓Excellent organizational skills with attention to detail
✓Effective communication skills, both verbal and written
✓Experience in medical office management is a plus
✓Familiarity with schedule management, event planning, and vendor management
✓Ability to manage payroll processes accurately
✓Experience with clerical tasks such as filing, data entry, and calendar management
✓Strong phone etiquette and customer service skills

Front Desk Coordinator
PLEASE NOTE: This is not a front-desk transitioning to esthetician position. We are looking for someone dedicated to customer service and all duties of the front desk.
Part-time to start but may become full-time; evenings, weekends, and some holidays are necessary. Benefits include health insurance, 401(k), and paid time off. $24-$29/hour depending upon experience.

Responsibilities
✓Client Communication: Serve as the first point of contact for clients, providing outstanding service in person, over the phone, via email, DMs, and online chat.
✓Appointment Management: Schedule and manage client appointments with precision, ensuring accuracy, efficiency, and optimal use of time slots.
✓Policy Enforcement: Confidently uphold spa policies, including cancellation and return policies, while maintaining professionalism and tact.
✓Spa Presentation: Ensure all areas of the spa remain pristine and welcoming for clients.
✓Opening and Closing: Handle opening and closing duties, including availability for evening and weekend shifts and possible holidays as needed.
Requirements
✓A strong commitment to delivering exceptional customer service. Warm and approachable personality with the ability to engage and communicate effectively with clients.
✓Proven experience managing communication across various platforms (phone, email, chat, etc.).
✓Skilled in scheduling and appointment management.
✓Passion for learning and growing within the esthetics industry and as a part of our female-owned small business.
✓Computer skills is a MUST.
✓Retail sales experience is a plus.
✓Must possess excellent communication, organizational skills, and a positive, team-oriented attitude.
